01 / Reconcile the incoming lot
Create a lot record linking every serial to its exact model, RAM, storage, keyboard region and accessories. Record the custody transfer and photograph intake exceptions.
Classify missing units, screen damage and missing accessories separately. Keep this identity throughout processing so the receiving record can be reconciled with the final packing list.
02 / Record sanitization and release
The sanitization record identifies the device or media, method, tool and version, result, verification and operator. Select the process for the media and the agreed information risk; NIST SP 800-88 Rev. 2 provides program guidance.
Check cloud-side management registration and firmware restrictions separately. Resolve ownership and enrollment through the authorized prior-owner process before reuse.
03 / Test function and grade appearance
Test display, touch, keyboard, trackpad, cameras, audio, wireless, ports, charging and sleep/wake. Add base attachment, detachment and both batteries for Book 1, 2 and 3.
Record cosmetic condition with defined criteria for screen marks, scratches, dents and missing trim. Keep functional failures distinct from cosmetic grades and attach the agreed disposition to each exception.
04 / Measure battery condition
Record design capacity, measured full-charge capacity, method and date for each battery. The worked example gives 42 Wh ÷ 50 Wh = 84%.
Agree the minimum accepted ratio, treatment of missing readings and remedy below the threshold. The ratio describes capacity relative to design; operating runtime also depends on workload, brightness, radios and power settings.
05 / Identify the processing operation
Our group’s ITAD operations and R2-certified facilities support recovery and refurbishment. The project identifies the processing entity, facility address, certificate validity and certified scope.
Link that record to the services performed on the lot. Certification applies to the identified facility and activities, and the supporting documents establish that scope.
06 / Reconcile the dispatch pack
Link each shipped serial to configuration, accepted condition, battery result, accessories, Windows entitlement and warranty provider. Include sanitization evidence and accepted exceptions in the agreed format.
Reconcile cartons to packing list and packing list to purchase order. The same device record supports receipt inspection, warranty handling and any later return.
